5 Tasks Just Got Easier

If you’re like most of us, your training software computer has Excel, and you use it daily. You’re likely to use Excel for things much more than your standard financial spreadsheet calculations. In fact, I’d bet you use Excel for everything from calculating your personal budget or expense plans to sorting/arranging/tidying lists of things, and many other uses.

Purists may argue as to whether it is training software or not, but regardless, for ages I have been using Excel add-in ASAP Utilities to accomplish more, in less time.

1. Text – Changing Names to Proper Capitalization

More often than not, when I get a list of names, or see one in a database, the capitalization is a mess. There will be some with all uppper-case, some with all lower-case, and some with odd combinations therein.

The easiest way to rectify is:

2. Text – Remove Extraneous Spaces

I can’t be the only one who has to contend with text which either contains leading spaces, trailing spaces, or triple/quadruple spaces in the middle, thus making a jumbled mess.

3. Text – International Characters “Clean-up”

Believe it or not, there are still a lot of software for trainers which does not deal well with international characters. Whether this is a design oversight, or a programming error, we, the training software end-users, have to pay the price. In some cases, it means getting data with international characters and “dumbing it down”, by replacing with their non-accented nearest equivalent. It’s an ugly way to get data from one system to play well with another system, but such is my life.

4. Columnar Data – An Easier Concatenate

There are countless occasions when I receive columnar data that needs joined together into a single column. In the days before ASAP, I would use the =CONCATENATE(A1,B1,C1,D1) to combine the contents of the first four columns. After typing in that formula (which gets longer and longer as you have more columns), it would be necessary to copy and fill it downward for as many rows as their are in the sheet. A slow, klunky process.

5. Text – Randomizing Lists

Excel is decent at sorting and so I find myself pasting lists into column B, put =INT(RAND()*1000000) in A1, then fill it from top to bottom of the list in column A. I hit data, sort, a-z a couple of times and now I have a totally randomized list
